Room Booking Timelines

Regular room bookings: 14  working days

Complex room bookings: see below (this includes bookings with an external speaker or with technical requirements) require 25 Working days notice

You must give 25 working days notice of an event with an external speaker, you must also complete the risk assessment form and the external speaker form provided by the student unions alongside your notice. To book the SU Lounge, Venue or Bar please email - venuebooking@goldsmithssu.org

How to book a room

12 working days for a general room booking

To book a space in the university, fill in this form if you are a society.

You must give us at least 14 working days notice (working days do not include weekends or bank holidays). If you come to us last minute we will try our best, but you're much less likely to secure a space. We can also handle repeat room bookings and specific room requirements - just give us as much information as possible in the form and we'll find you the best available space.

This includes:

  • Events that are on university campus (not in the SU building)

  • Bookings that do not require any staff

  • Bookings that do not require any technical support

  • Repeat bookings that happen either weekly or monthly

for a large event

To book a one-off or large-scale event, use the room bookings form.

You must give us adequate notice to allow us to book your venue, staff, technical support and confirm external speakers (if applicable). Please note that all large-scale events held in the SU building will be handled by our Business Development Coordinator. If you have any further questions, please email venuebooking@goldsmithssu.org.

Please make sure you have confirmation of a room booking before publicising the event.

This includes:

  • Events that have an expected turnout of 100+ people

  • Bookings that require staff (bar staff/door staff)

  • Bookings that require technical support (e.g. if you are using lighting, sound, tech)

  • Bookings that have an external speaker

Types of room

There are several types of space in the university you can book. These include:

  • Seminar rooms: tables, chairs

  • Lecture rooms: raked seating

  • Movement spaces: large, empty, non-carpeted

  • PC labs: computers on every table space

  • Piano rooms: piano available

There are also several bookable spaces in the SU building:

  • SU Lounge : daytime for small events (<10 people), evenings for large events (<60 events)

  • SU Bar

  • SU Venue: formerly The Stretch

  • Liberation Room: small space for liberation groups and communities
