The Main Risk Assessment Form You Need: 

  1. General Risk Assessment Here  (General And Recurring bookings with 14 working day notice)

  2. External Speaker Risk Assessment Here  (For external speaker/guest bookings with 25 working day notice)

  3. External Speaker Form - You must fill this out and send it alongside your risk assessment linked above with at least 25 working day notice to amina@goldsmithssu.org. Failure to do so, may result in event cancellation. You must never under any circumstance formally invite a speaker until the external speaker risk assessment form and the external speaker form have been submitted and you have received email confirmation of approval. The 25 working day notice is to ensure your risk assessment is approved and all necessary actions are taken. Once your risk assessment and room booking request have been approved and confirmed via email, you will then be able to formally invite speakers an advertise your event.

You will need risk assessments for your events. Please email the completed risk assessments to amina@goldsmithssu.org at least 12 working days in advance. In some cases, more working days if your activity is more high-risk.

If your events or activities are the same or repeated, you can use the same risk assessments, just make sure it includes all the dates you are running events on them and that everyone in the committee has read, added to (if necessary) and signed the risk assessments.

Risk Assessment Requirements: 

  • All societies must submit a general risk assessment covering their core activity.

  • All events and projects must be covered by a risk assessment that is submitted to the Societies Coordinator with 14 working day notice for general bookings and 25 working day notice for bookings with external speakers. Once this has been approved, society leaders can then contact external speakers and formally invite them.

  • Some activities might incur a very high level of risk. If the SU/University is not satisfied you can provide adequate controls, your activity cannot go ahead on campus.

  • Estates might require a risk assessment for any out of the ordinary events to be submitted to them to confirm the room booking.

  • Some activities might require additional security measures. If so, your society might be liable for the cost of this.

  • Any event with an external speaker must submit a risk assessment & External speaker form with 25 working days notice as soon as the speaker has been cleared. You will also need to complete an external speaker form 25 prior to the event.

Why do you need a risk assessment? 

  • To ensure activities are well planned for

  • To ensure adequate measures are put in place to stop anything going wrong

  • To demonstrate that the activity will be run in a responsible manner

  • To demonstrate, if something goes wrong, that you did all you reasonably could to mitigate risk

If something goes wrong at your event (for example: an attendee injures themselves), our insurance will need to see the risk assessment in order to cover you against any claims made.

If you do not submit a risk assessment for your activity, the activity is not authorised by the SU and is thus not an official society activity. We will not accept any responsibility or liability.

How to risk assess? 

  • Don’t overcomplicate the process; the risks in your activity should already be well known and easy to identify. E.G. you should be able to tell when/where a person involved in your activity might slip or trip

  • A hazard is anything that may cause harm, such as falls from height, drowning, electricity, chemicals etc.

  • The risk is the chance, high or low, that somebody could be harmed by these and other hazards
