We strongly encourage each Society, Sports Club and community to run a large open meeting towards the end of the year for every one of their members to voice their thoughts. In this meeting, you should:

  1. Summarise the positive and critical points from the last academic year.

  2. Give an overview of finances.

  3. Explain the roles up for election, and give candidates 2 minutes (and no more) to explain why they are the most suitable person for the position.

  4. Answer any questions and comments from members.

Agenda Example

Below is a sample agenda, and we encourage you to use this as a starting point for your AGM. You should send out the agenda to members prior to the meeting.

  1. Welcome attendees and introduce committee members.

  2. Overview of the past year. You should cover activity in the last year, publicity gained, number of members and participants in activities, success points and improvement points.

  3. Financial report. The Treasurer should present money gained and spent throughout the year, with an overview of how it was raised and spent. This should also cover the funds which will be carried into the next year.

  4. Plan for the next year.

  5. Questions from members.

  6. Explanation of the roles going up for election.

  7. Hustings. 2 minutes per candidate per role.

  8. Questions to candidates.
